Account Specialist

Location: Valencia, CA - Hybrid role onsite 3 days per week.

Compensation: $33.00 per hour

Job Summary:

The Account Specialist will obtain and maintain various new accounts/vendors/licenses needed for new/upcoming locations as well as maintain the same accounts/vendors/licenses from all open locations. This includes the research & application of various compliance items while working with a variety of teams in order to report on and update files, pay invoices, and maintain constant communication with vendors, municipalities, and our internal teams as well. This position will also cover for and support the other positions in the vendor team.

Key Responsibilities:

  • Communication & Collaboration:

    • Professionally communicate with vendors, coworkers, and upper management across various channels (email, phone, Slack, in-person, etc.).
    • Liaise effectively between departments (expansion, accounting, warehouse, facilities, store locations) and external vendors.
    • Respond promptly to all communication forms and maintain proper etiquette.
  • Task Management & Prioritization:

    • Prioritize tasks effectively and adapt quickly to changing priorities or unforeseen delays.
    • Manage multiple tasks simultaneously, meeting deadlines and staying organized.
    • Be self-sufficient, goal-driven, and flexible to business needs, willing to learn and handle new tasks.
    • Follow through on tasks, managing stress and deadlines efficiently.
  • Problem-Solving & Critical Thinking:

    • Apply analytical skills to assess and resolve issues from multiple perspectives.
    • Collect and synthesize information from various sources to inform decisions.
    • Offer solutions, negotiate, and handle disputes as needed for the company's benefit.
    • Provide concise data and contribute meaningfully in meetings.
  • Vendor & Account Management:

    • Oversee vendor and service account management (e.g., janitorial, HVAC, pest control, etc.), ensuring timely enrollment and setup.
    • Review, pay, and maintain records for invoices.
    • Provide feedback on vendor performance and standard operating procedures.
    • Manage renewals and compliance tasks, ensuring timely completion.
  • Support & Coverage:

    • Support team members during absences and vacations.
    • Help cover larger team operations as needed.
    • Provide daily/weekly updates on ongoing tasks, emergencies, recurring issues, and escalations.
    • Assist with onboarding new accounts and coordinating store openings with expansion teams.

    • Maintain a positive attitude and contribute to a professional, collaborative work environment.
    • Follow proper communication channels and escalation procedures, respecting the organizational hierarchy.

Physical Requirements/Working Conditions:

  • Must be able to lift 15 pounds & exhibit the ability to mail miscellaneous items including envelopes or box/packages

  • Ability to work at a computer for extended periods of time which involves:

    • Looking at monitors/screens, Sitting, typing, calling, & other general office tasks

Minimum Qualifications

  • Education & Experience:

    • Bachelor’s degree in Business, Project Management, or related field preferred.
    • Experience in project management, vendor research, and handling contracts/enrollment forms.
    • Customer service and B2B relations experience.
    • Smartsheets experience a plus.
  • Skills & Abilities:

    • Strong attention to detail with the ability to manage multiple tasks and prioritize effectively.
    • Proficiency in Gmail, Excel, Google Sheets, Word, Dropbox; ability to learn new software (Coupa, IMS system).
    • High typing speed and strong tech troubleshooting skills (printers, scanners, etc.).
    • Ability to research vendors, perform cost analysis, and compare proposals.
    • Proficient at note-taking, task management, and maintaining project records.
    • Able to effectively manage time, meeting deadlines and being punctual for meetings.
    • Strong communication skills, both written and verbal, for reporting, presenting, and addressing issues.
    • Ability to handle minor conflicts professionally, both internally and externally.
  • Project & Task Management:

    • Capable of pushing projects forward, ensuring completion or handoff to the next team.
    • Ability to maintain and update project steps, ensuring continuity.
    • Strong organizational skills and ability to keep accurate records of company spending (invoices, receipts, etc.).
    • Skilled in multitasking and handling large projects or stressful situations.
  • Teamwork & Initiative:

    • Able to work independently without direct supervision while contributing effectively to team goals.
    • Willingness to assist teammates as needed and manage workload efficiently.
    • Ability to identify and escalate issues that could impact the company.
  • Professionalism & Productivity:

    • Maintain professionalism in all interactions and remain productive throughout work hours.
    • Ensure tasks are completed on time, and report issues that may affect the company’s operations.
