Workforce Planning Specialist

Workforce Planning Specialist – Southern California
Full-Time | On-Site | $90,000 annually

We are hiring a Regional Operations Coordinator to support scheduling, workforce planning, and operational execution across our Southern California region. This role ensures clinics are fully staffed, compliant with labor standards, and operating in alignment with company expectations.

About the Role:
The Regional Operations Coordinator plays a crucial role in ensuring schedule accuracy, optimizing labor efficiency, and supporting field leadership in achieving operational excellence for a national multi-unit aesthetic dermatology organization. This position partners closely with Location Directors, Regional Leaders, HR, and Inventory teams to support daily operations and improve performance metrics across the region.

Key Responsibilities:

Scheduling & Labor Management

  • Review and manage clinic schedules based on sales forecasts, marketing initiatives, and foot traffic trends.
  • Modify and maintain schedules using workforce management tools.
  • Partner with field leadership to resolve scheduling conflicts, approve time-off, and ensure full coverage.
  • Analyze labor hours versus budget, and provide recommendations to control costs and optimize staffing.
  • Ensure compliance with federal, state, and local labor laws, including overtime, rest periods, and minimum hour restrictions.

Operational Support & Communication

  • Act as the primary contact for scheduling matters within the Los Angeles region.
  • Lead scheduling process training and adoption across clinic leadership.
  • Contribute to regional policy development and ensure alignment with company standards.
  • Attend regional operations meetings and deliver insights on labor utilization and clinic staffing trends.

Reporting & Analysis

  • Prepare labor utilization, attendance, and scheduling efficiency reports for leadership review.
  • Identify areas for improvement and support action planning to address performance gaps.

Regional Collaboration

  • Partner with Regional and Sales leadership to identify clinic-level operational concerns and execute corrective plans.
  • Support adherence to operational policies and drive performance accountability.

Inventory Oversight Support

  • Liaise with Inventory team to maintain appropriate stock levels and ensure adherence to supply chain processes.
  • Hold clinics accountable for proper inventory check-in, disposal, and ordering protocols.

Communication & Site Engagement

  • Conduct regular operational check-ins and scheduling reviews with clinic leaders.
  • Visit assigned clinics as needed to support consistency, policy alignment, and business needs.

Qualifications:

  • Bachelor’s Degree required.
  • 4–6 years of experience in operations coordination, scheduling, or multi-unit retail or healthcare operations.
  • Hands-on experience with workforce management tools and scheduling platforms.
  • Strong analytical skills and experience managing labor budgets.
  • Advanced Excel skills and proficiency in Microsoft Office Suite.
  • Excellent communication and problem-solving abilities.
  • Strong attention to detail and organizational skills.
  • Ability to work a flexible schedule that includes weekend support as needed.

  • Travel: Minimal, limited to regional clinic visits and team meetings
