Inventory Support Specialist - Part Time

Inventory Support Specialist - Part Time
Compensation: $25/hr - Remote - Weekends required

Job Summary:

The Inventory Support Specialist provides in-clinic administrative inventory support across an assigned territory. This role is responsible for monitoring inventory discrepancies, promoting adherence to standard operating procedures (SOPs), and training clinic staff on inventory best practices. Serving as the primary liaison between the HQ Inventory team and local clinic operations, the specialist ensures consistent communication, compliance, and execution of inventory management processes. Additionally, this role supports HQ-led initiatives, audits, and system updates to maintain accuracy and efficiency across all inventory-related functions.

Essential Job Duties/Responsibilities:

  • Ensure clinic compliance with best practices and standard operating procedures (SOP’s) relating to inventory handling, storage and discrepancy tickets.
  • Investigate and resolve inventory discrepancies by working with staff in clinics, warehouses, and the Inventory team.
  • Monitor department inbox for all vendor invoices as shipments occur.
  • Input inventory data into inventory management systems or ERP platforms with high accuracy.
  • Check all tracking numbers to ensure purchased product was delivered and checked in within clinic.
  • Follow up weekly with stores to check in all outstanding dashboard items.
  • Manage communication on back-end transfers between clinics.
  • Assist with month end inventory reconciliation & cycle count audit follow up.
  • Provide additional support as needed to the department as needed.

Qualifications:

Education & Experience:

  • High school diploma or GED required; Associate degree in supply chain, business, or a related field preferred.
  • 1–2 years of experience in inventory, supply chain, retail operations, or healthcare/medical office setting.
  • Experience supporting multiple locations (such as medical clinics) is a plus.

Technical Skills:

  • Proficiency with inventory management systems and software (e.g., ERP or clinic-specific platforms).
  • Strong Microsoft Office skills, especially Excel (e.g., using spreadsheets for inventory tracking).
  • Strong working knowledge of Google Workspace (G Suite) — including Google Sheets, Docs, Forms, and Drive — for inventory tracking, reporting, and collaboration.

Soft Skills & Competencies:

  • Understanding basic inventory control procedures and principles.
  • High attention to detail and accuracy in data entry and recordkeeping.
  • Strong organizational and time-management skills.
  • Effective communication skills to coordinate with clinic/retail staff.
  • Ability to work independently and as part of a cross-functional team.
  • Problem-solving skills to troubleshoot discrepancies and inventory issues.

Physical Requirements/Working Conditions:

  • This role may be performed remotely, with occasional on-site visits to clinics as needed for inventory audits and/or training.
  • Must have access to a quiet, dedicated workspace with a reliable high-speed internet connection.
  • Must be available to work during standard business hours and respond promptly to time-sensitive inventory issues.
  • Will use cloud-based inventory systems, Google Workspace, and internal communication tools (e.g., Slack, Zoom) to collaborate with clinic staff and operations teams.
  • Must be able to perform administrative inventory tasks independently with minimal supervision, maintaining high levels of accuracy and accountability.
